These Terms & Conditions apply to all trekking, tour, climbing, and adventure programs organized by Trek With Dawa, a registered trekking and tour company based in Kathmandu, Nepal. By booking a trip with us, you agree to the following terms and policies.

Booking & Payment Policy

• A 20% non-refundable deposit is required to confirm your booking.
• The remaining balance must be paid upon arrival in Kathmandu before the trip begins.
• For Tibet, Bhutan, India tours, or special expeditions, full advance payment may be required due to permit and reservation policies.
• Payments can be made via bank transfer, credit card, or cash. Any bank or transaction charges are the responsibility of the client.

Cancellation & Refund Policy

• All cancellations must be made in writing via email.
• Refund policies are as follows:
  • More than 30 days before departure: 50% refund (excluding deposit)
  • 15–30 days before departure: 25% refund
  • Less than 15 days before departure: No refund
• No refund will be provided for unused services or early departure from the trip.
• Flight tickets are non-refundable and non-transferable.

Changes to Itinerary

• Itineraries may change due to weather conditions, flight delays, natural disasters, road conditions, political situations, or health concerns.
• Trek With Dawa will provide the best possible alternative arrangements when necessary.
• We are not responsible for additional expenses caused by circumstances beyond our control.

Travel & Medical Insurance

• Comprehensive travel insurance is mandatory for all clients.
• Insurance should include:
  • Medical treatment and accidents
  • Emergency helicopter evacuation
  • Trip cancellation or interruption
  • Loss or theft of baggage
• Clients must arrange insurance before arriving in Nepal.

Responsibility & Liability

• Trek With Dawa acts only as a service provider and is not liable for delays, accidents, natural disasters, political unrest, or other events beyond our control.
• Clients must follow the instructions of guides and staff for safety purposes.
• We are not responsible for personal injury, illness, loss, or damage to belongings during the trip.

Environmental & Cultural Responsibility

• We are committed to responsible and sustainable tourism practices.
• Clients are expected to respect local culture, traditions, religion, and communities.
• Proper waste management and environmentally friendly behavior are encouraged throughout the journey.

Trekking Regulations in Nepal

• All foreign trekkers must trek with a licensed guide as per Nepal government regulations.
• TIMS cards, trekking permits, conservation area permits, and restricted area permits will be arranged by Trek With Dawa when required.
• Clients must carry valid permits and follow local trekking rules and regulations.

Mountaineering & Peak Climbing Policies

• All climbing activities require official permits arranged through authorized agencies.
• Climbers must have proper insurance and physical fitness for high-altitude activities.
• Trek With Dawa reserves the right to refuse participation if a client is considered medically unfit for the trip.

Privacy & Personal Information

• Personal information provided by clients is used only for trip arrangements, permits, bookings, and emergency purposes.
• Trek With Dawa respects your privacy and will not share personal information with third parties unless required by law or government authorities.
